We are looking for a Full-Time Faculty Affairs Specialist to join the UTHealth School of Biomedical Informatics in Houston, TX. In this position, you will provide administrative support to the Office of Associate Dean of Faculty Affairs under general supervision. You'll perform advanced and confidential administrative support duties requiring broad experience, skill, and knowledge of organization policies, procedures, and practices.

Position Key Accountabilities:

  • Provides a high level of coordination for programs and activities related to faculty recruitment, hiring, development, and retention.
  • Assists with organizing faculty meetings, retreats, new faculty orientation, and other special events.
  • Supports Faculty Committees by coordinating meetings, making room assignments, recording meeting minutes, and assisting with setting of required IT resources.
  • May assist with implementing and managing faculty performance review processes as required by the University.
  • May assist committees and faculty groups with creating print and web-based marketing material.
  • May develop and maintain in-house faculty databases and generate detailed reports as requested while contributing to the ongoing enhancement of the systems.
  • Assists with qualitative and quantitative data collection, analyses, and reporting. Generate reports or other responses to faculty data requests.
  • Assists the Associate Dean of Faculty Affairs by scheduling meetings, assisting with event planning and preparation, researching various topics and issues, and assisting with other projects as needed.
  • May schedule and maintain calendars and travel itineraries and may process employee expense reimbursements and purchasing of office supplies and equipment.
  • Performs other duties as assigned.

  • Strong interpersonal, written, and verbal skills and the ability to work with diverse populations.
  • Advisory, technical, and organizational skills. 
  • Ability to make general decisions requiring a comprehensive knowledge of a wide range of regulations, policies, procedures, and practices. 
  • Initiative and independent judgment.

Minimum Education:

  • Bachelor's Degree required. May substitute required education with equivalent years of experience beyond the minimum experience requirement. 
     

Minimum Experience:

  • Three (3) years of experience in the administration of a program, preferably in higher education or healthcare setting.
     

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Security Sensitive:

This job class may contain positions that are security sensitive and thereby subject to the provisions of Texas Education Code § 51.215

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
