UTHealth Houston's IT department is looking for someone who can be a "policy wrangler." At the core of this role is someone who will make sure IT policies and procedures are updated and clearly stated for UTHealth Houston. The Data & Policy Coordinator manages committees, communication among managers, policy and procedure websites, and databases to ensure timely and accurate review, update, and posting of policies and procedures. They will also provide administrative support to the Policy Committee. Changes will come from UT Systems and our HOOP policies that govern agencies that are part of the State of Texas. These policies are ever-evolving and can concentrate on areas such as data governance and the use of artificial intelligence tools. In essence, you will be like a project manager - figuring out who to talk to and organizing all of the information. You will need to be a people person, and great language, writing, and communication skills will be key. You don't have to be an IT subject matter expert, but it will help if you know the general nomenclature used by professionals in information technology. 

This role will be hybrid and consist of being on site most days. You may be allowed to work remotely a day or two a week, but this may be after a training period and will be determined by the business needs of the position. The position will be in our Operations Center Building, just south of NRG Stadium and 610.

Position Summary:

The Data & Policy Coordinator manages committees, communication among managers, policy and procedure websites, and databases to ensure timely and accurate review, update, and posting of policies and procedures. Provides administrative support to the Policy Committee.

Position Key Accountabilities:

Essential Functions

  • Coordinates the creation, revision, review, and approval process for information technology policies and procedures to ensure information technology policies and procedures are properly formatted, consistent, and approved in a timely manner. Establishes and enforces standards for structure and content.
  • Review the changes or amendments made to existing policies and procedures to identify gaps and improvement opportunities. Works with subject matter experts to amend and update IT policies and procedures.
  • Coordinates maintenance of information technology policies on policy management software.
  • Develops educational resources and training for staff who are responsible for local departmental policies, including organization, retention, format, and support.
  • Trains authorized users of the system and reviews and approves content. Provides education on the requirements for policy development and approval
  • Monitors revisions and additions of procedures to ensure consistency across departments. Remains knowledgeable of IT policies and procedures and manages the effects of change to ensure all related documents are consistent with new and/or revised policies and procedures.
  • Facilitates and participates in IT policy committee activities.
  • Assists with editing and formatting relevant documents.
  • Performs other duties as assigned.

Certification/Skills:

  • The ideal candidate demonstrates high accuracy and attention to detail, excellent communication skills, the ability to interpret and communicate policy, and the ability to exercise sound judgment in various situations.
  • Ability to manage and prioritize multiple assignments and work efficiently while remaining flexible to unforeseen changes in direction.
  • Knowledge of standard office software and general computer operations
  • Ability to work on a multi-disciplinary team
  • Superior communication skills, both oral and written, including specific skills such as presentation skills, and the ability to communicate complex subjects to non-technical groups.
  • Proven ability to effectively problem solve.

Minimum Education:

Associate's Degree required May substitute required education with equivalent years of experience beyond the minimum experience requirement. May substitute required education with equivalent years of experience beyond the minimum experience requirement. preferred

Minimum Experience:

2 years of work experience in policy development, project management, and/or communications required 

2 years experience working with IT policies in a healthcare or educational environment preferred

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
